Before making the first payment from the terminal at a given service station (PC), it is necessary to select the terminal to be used from the drop-down menu during payment/pre-authorisation. For subsequent payments, the system already remembers the selection. If the cookies are deleted, HotelTime will still remember which terminal was used.

 

Processing payment from reservation

Use case: The guest arrives at the hotel and pays for the entire stay on arrival, hotel uses the deposit invoices and the receptionist creates a deposit invoice.

In the Credit Cards section, the user selects the "payment by terminal" option, and then has the following options:

  • Create a token = a token of the card is created with the transaction and stored with the reservation
  • Manual card entry = the guest's card is not working and needs to be entered manually
  • MOTO payment = the guest is no longer at the hotel and a transaction needs to be made

 

The user can only create a payment (option "pay") or create a payment and immediately create a quick deposit invoice (option "pay and create deposit invoice").

 

If the user only creates a card payment, an "external payments" section will appear in the reservation, where the payment will be visible. From there, a quick deposit payment can be created (by clicking the green note) or refunded (by clicking the red cross).

Processing payment from bill settlement

Use case: The guest arrives at the hotel and pays for the entire stay on arrival, hotel does not use deposit invoices and the receptionist settles the reservation bill in advance.

 

Use case 2: The guest pays the bill on departure from the hotel.

The amount is calculated from the items that are selected to be paid after deduction of any deposit invoices or other external payments. The payment itself will then be reflected under the items section. If the final bill is at 0, just continue via "Settlement" or "Settle & Back". A receipt will be created with selected items and Adyen terminal payment method.
