Among standard reservations there are a few more types of reservations that you can create in HotelTime.
Day use is a type of a reservation with departure date same as the arrival date. Besides, it is basically a full-fledged reservation.
So even if the guest is leaving the same day, you do not have to block your room with a standard all-night reservation.
How to set:
- Settings - Application - Main system set-up - Reservations - checkbox Enable DayUse
- Settings - Rates - Rate codes
- Day Use reservation must have a standalone RateCode, cannot be combined with standard reservations. So create a new RateCode, name it e.g. DayUse.
Check Day use for the Reservation room type only.

- You can then start creating DayUse reservations on this RateCode. The procedure is the same as for a standard reservation.
Accompany reservations allow you to share room capacity. Are there multiple guests sharing a room with different meal plans? Does the guest have some roommate coming but only staying for a part of the whole stay? By adding an Accompany room, you can accommodate another guest in a room where another reservation is already staying, while allowing to set other parameters for the reservation, just like meal plan or dates of stay.
How to set:
- Settings - Rates - Rate codes
- Select Rate code for which you want to change settings
- Check Accompany for the Reservation room type and save.
- Accompany room can be added to the reservation from the reservation detail menu - Add room - Accompany or by right-clicking the reservation from the room plan - Add Accompany.
- Standalone Accompany reservation can be created the same way as standard reservation. Just make sure to change Room reservation type from Standard to Accompany before saving.
Both Accompany and Dayuse are displayed on a separate line by the assigned room number in the roomplan.
Block is similar to a provisional reservation, but unlike it, it does not affect hotel occupancy. It does not even have its own account, so it does not generate any revenue neither. It cannot be assigned to a specific room number. Typical use is as a waiting list, you can have several blocks in the system for a certain date. You can then opt for one of them and easily flip it to a standard or provisional reservation.
In the Reservations - Room type availability overview report, the number of blocks is displayed in the Order rooms line, and it does not affect either the number of reserved or the number of available rooms.
How to set:
- Settings - Rates - Rate codes
- Select Rate code for which you want to change settings
- Check Block for the Reservation room type and save.
- You can then start creating Block reservations on this RateCode. The procedure is the same as for a standard reservation. Just make sure to change Room reservation type from Standard to Block before saving.
You can then search for reservations as usual via the main menu tab Reservations - Reservation search by. Select which parameter you want to search by, for example, by arrival. In the following window you can choose whether you want to search all reservations or only standard, dayuse, accompany or block reservations.
Tip: In Settings - Application - Room plan settings you can also set whether to display or not the Add Accompany button after right clicking on the reservation.
You can also check the Menu for creating reservation option. If you then create new reservation by left clicking on the room plan, you will have option to choose between standard, accompany and dayuse.
