Is a room not suitable for sale due to a maintenance issue, or do you have a reason not to make it available for a specific date? Use the Out of Order (OOO) or Out of Service (OOS) functions to manage this efficiently.

How do the Out of Order (OOO) and Out of Service (OOS) Functions Work?


OOO: Blocks the room, prevents reservations from being assigned to it, and decreases the available inventory of the room type. If connected to a channel manager with availability synchronization, OOO rooms will be excluded from the availability sent to the channel manager.


OOS: Blocks the room for a short-term issue, such as a minor repair. OOS rooms are not removed from the available room inventory but cannot be assigned to reservations. Unlike OOO, OOS does not impact the available inventory for sale, and capacity remains unaffected internally in your PMS as well as in external systems.


How to Place a Room on Out of Order (OOO) or Out of Service (OOS)?

  1. From the main menu, go to Settings --> Application --> Rooms OOO/OOS.
  2. Select Add Room OOO/OOS
  3. Change the date range, fill in the comment (a compulsory field), and select rooms.
  4. Choose OOO or OOS from the drop down list.
  5. Choose Target room status from the drop down list and manage the target cleaning status after the closure ends
  6. Select the color from the color picker to visually differentiate the status on the room plan.
  7. Save.

Note: The system will notify you if the OOO or OOS entry cannot be saved due to an existing reservation on the room during the selected date range.


Useful tip: Do you need to put all rooms from certain room type on OOO? You can change them to OOO all at once. When you are adding the OOO, select room type from filter Room type, the system will list only rooms belonging to this room type, then tick All rooms and Save.



The OOO and OOS rooms are clearly recognized in the roomplan and and can be distinguished at first sight.


OOO rooms have selected color and are fully colored, on the other hand OOS rooms have selected color and are hatched.



In operational reports like housekeeping, the OOO and OOS statuses are visually distinguished by background colors:

  • OOO: Rooms in OOO status appear with a black background and bold white text.
  • OOS: Rooms in OOS status appear with a grey background and bold white text. This visual distinction helps staff quickly identify rooms marked as OOO or OOS, ensuring effective management and monitoring of room statuses across the system.
